Do you enjoy admin? Are you well organised? Are you concerned about the impact the COVID-19 lockdown has had on children's emotional wellbeing? Would you like the chance to use your skills to make a positive difference to the lives of disadvantaged children in your local area? Then this role could be for you.

The Treasure Basket Association is a small, West Sussex charity providing play therapy and therapeutic resources to support the emotional well-being of disadvantaged children and families. It was founded by Felicia Lycett, an accredited play therapist.  Felicia started this work in 2015 and registered The Treasure Basket Association as a charity in August 2019 to increase its reach and impact.  The charity is governed by a board of six people who are passionate about the potential of play therapy in improving the life chances of disadvantaged children struggling with emotional issues. Felicia runs the day-to-day operation.  

The COVID-19 lockdown has had a massive impact on children's wellbeing - particularly those from the most disadvantaged households.  The charity is keen to expand its services to help more local children get the support they need to recover from the impact of the lockdown and fulfil their potential.  It has recently received funding from the Sussex Community Foundation and Worthing Community Chest, to help with this. 

We are now looking for a Board Secretary to support the Chair and the smooth running of the Board.

Your role will be to:

1. Help organise our board meetings (4 a year) and the annual general meeting:

  • Liaising with the chair to plan meetings.
  • Collating agenda items from board members.
  • Circulating agendas and reports.
  • Attending the meetings and taking the minutes.
  • Circulating the approved minutes.
  • Checking that agreed actions are carried out.

2. Keep our records up to date and accessible to those who need to refer to them:

  • Contact details.
  • Minutes and reports.
  • The charity's activities and future plans.
  • Correspondence.
  • The charity's newsletters and other publications.

3. Coordinate the completion of paperwork to meet regulators' requirements e.g.:

  • Charity Commission.
  • Companies House.
  • Local Authorities.
  • Information Commissioner.

4. Coordinate the induction for new trustees.

Although you will be attending all board meetings, this is not a trustee role.  If you are interested in becoming a trustee of our charity, we do have a vacancy so please get in touch. 


You don't need to have been a secretary to a board before. We are a small charity, so this is not a complex role. And we can arrange training for aspects of the role which might be new to you. 

We are looking for someone who has administrative experience - this could be at work or in a voluntary role.   You must be:

  • Well organised.
  • Reliable and able to work to deadlines. 
  • Able to write clear, accurate and succinct minutes.
  • Confident at using a computer to create, store and send documents; and at using email and the phone to communicate with board members and other organisations.

Practical Considerations

We don't have an office, so you will be doing the administrative work from home.  The board meetings and most ad hoc meetings with the Chair and Chief Executive are held in Worthing.

You should have access to a computer, broadband and phone. 

When do I need to be available?

Details You should be able to attend our four board meetings a year and the annual general meeting. There will also be adhoc meetings with the Chair and the Chief Executive from time to time - which can be face to face or via video call. We think the administration work between meetings will take an average of 2 hours a week. There is considerable flexibility about when this work is done (as long as agendas, papers and minutes are sent out on time) .
