ESTEEM is a Sussex-based charity which involves young adults aged 14-26 in opportunities to develop their confidence, build life-skills and improve their well-being. We offer 1:1 vocational mentoring, tailored volunteer roles, well-being support services and group activities in a safe and supportive environment.  During the COVID-19 crisis we are running an innovative programme of online activities so we can continue to support young adults at this challenging time. 

ESTEEM is governed by a strong Board of Trustees. The Trustees bring a wide range of skills, and expertise in youth work, strategy planning, business development, financial administration and fundraising, as well as an interest in vocational and personal development for young people.

We are now looking for a new Trustee to join the Board as its Trustee Secretary: someone with excellent admin skills and a strong empathy for our goal of enabling young adults to flourish. 

As a Trustee, you will share the responsibility for the governance and strategic direction of the charity, its financial health and compliance with regulation. And, as Trustee Secretary, you will support the Chair in the smooth running of the Board. 

In addition to the general duties of a trustee, you will be responsible for:

1. Ensuring meetings are effectively organised and minuted.

2. Maintaining effective records and administration.

3. Upholding the legal requirements of governing documents, charity law, company law etc.

4. Communicating with fellow board members, including:

  • Liaising with the Chair to plan meetings.
  • Receiving agenda items from committee members.
  • Circulating agendas and reports.

5. Ensuring all meetings comply with the requirements of the governing document.

6. Supporting the Trustees in fulfilling their duties and responsibilities, organising trustee induction and ongoing training. 

We are still recruiting to this role despite the COVID-19 emergency because it's important to our future. Skills

Essential:

  • Excellent verbal and written communication skills.
  • Effective time management and organisational skills. 
  • Ability to work to specified deadlines. 
  • Record keeping, information retrieval and dissemination of data/documentation to the Trustees and relevant parties. 
  • Writing agendas and concise minutes. 
  • Competent computer user and able to communicate regularly by email. 
  • Able to exercise independent judgement and take reasonable care, skill and diligence in their role on the Board. 
  • Willing and able to fulfill the legal duties of a Charity Trustee.

Desirable:

  • Knowledge of Charity law and the voluntary sector. 
  • Knowledge and understanding of issues affecting young people.

Practical Considerations

You would be carrying out your administrative responsibilities at home.  The board meetings are held at our office in Shoreham-by-Sea.

When do I need to be available?

Details We are looking for someone who is able to spend about 6 hours a month on this role - including attending the board meetings which are held about every 6 weeks. There is some flexibility around when you do the work but we do need you to attend the board meetings and to meet deadlines for the distribution of the agenda and minutes etc. Given the importance of this role to the smooth running of the Board, we would ideally like to appoint someone who is willing to commit for a minimum of two years.
